Pontaluna: ClickUp Sync — Support

What the app does

Every new Shopify order becomes a task in the ClickUp list you choose. When the order is fulfilled, cancelled or refunded, the task follows: its status changes and a tag is added. You decide which orders sync, and which ClickUp status each order event maps to.

Setting it up

The app walks you through this the first time you open it. Three steps:

1. Connect your ClickUp account

Click Connect ClickUp on the app's page in your Shopify admin. A ClickUp window opens and asks you to authorise the workspace. It closes on its own once you accept, and the app updates immediately.

2. Choose the destination list

Pick the list your orders should land in, then map each order event — created, fulfilled, cancelled, refunded — to one of that list's statuses. Save.

3. Receive an order

The next order your store takes becomes a task. Orders placed before you finished setup are not synced retroactively.

Plans and limits

The counter counts tasks actually created. Orders skipped by your filters do not consume it, and neither do status updates on existing tasks. It resets on the first day of each calendar month. Billing is handled entirely by Shopify and appears on your Shopify invoice.

Common questions

An order did not sync. Why?

Open the app and read Recent activity. Every order the app processed is listed there with the reason it did or did not reach ClickUp — a filter that excluded it, a monthly limit reached, a ClickUp destination it could not write to. That page is the answer to this question in almost every case.

The app says my ClickUp connection is broken.

This happens when the workspace authorisation was revoked in ClickUp, or the destination list was deleted. Orders are held rather than dropped: fix the connection — reconnect, or pick another list — and the waiting orders are sent within a minute. Orders held for more than seven days are given up, and the activity journal says so explicitly.

Can I change the destination list later?

Yes. Tasks already created stay where they are; new orders go to the new list.

What happens when I hit my monthly limit?

New orders stop becoming tasks until the counter resets on the 1st, or until you move to a larger plan. Nothing is lost on the Shopify side — the orders are simply not synced, and each one is listed in the activity journal.

What if I refund only part of an order?

The task is tagged partially-refunded and keeps its status, because the order still has to be prepared. A comment records how much came back and why. The task only moves to your "refunded" status once the refunds on that order add up to its total.

Does uninstalling delete my data?

Yes. Uninstalling erases your access tokens, your settings and your synchronisation history from our systems. Tasks already created in ClickUp belong to you and are untouched. See the privacy policy for the detail.

I uninstalled while on a paid plan and reinstalled. Do I lose what I paid for?

No. Your plan shows as Free — the subscription ended — but you keep its allowance until the end of the period you already paid for. The app states the plan and the date on its Plan card.

Still stuck?

Email support@pontaluna.com with your shop domain and, if it is about a specific order, its number. The app's activity journal has a Contact support button on failed entries that fills all of this in for you.
